Blocking Time Slots

Blocking time slots allows providers to set periods of unavailability, ensuring no appointments are scheduled during breaks, holidays, or other commitments.

How to Block Specific Times

  1. Access the Calendar

    • Navigate to the Appointments section and open the Calendar View.

  2. Start Blocking a Time Slot

    • Click the + New Activity button at the top-right corner.

    • Select the Unavailability tab.

  3. Set Unavailability Details

    • Date: Choose the date for the unavailability.

    • Duration: Select whether the unavailability is All Day or for a specific time range.

      • If selecting a specific range, set the Start Time and End Time.

    • Reason: Enter a brief reason for the unavailability (optional).

    • Automatically Cancel Existing Appointments: Enable this toggle if any appointments during this period should be canceled.

      • A notification will be sent to affected patients with the cancellation reason.

    • Message (Optional): Include a personalized message for the cancellation notification.

  4. Save the Blocked Time

    • Click Save to finalize the blocked time slot.

    • The time will appear on your calendar as unavailable.

Using Buffer Times

Buffer times allow for automatic spacing between appointments to prevent overbooking or ensure breaks between sessions.

  1. Navigate to Settings

    • Go to Settings > Appointment Settings.

  2. Set Buffer Time

    • Locate the Buffer Time field.

    • Choose the desired duration (e.g., 15 minutes, 30 minutes).

      • This will automatically block time before and after appointments to prevent consecutive bookings.

  3. Save Changes

    • Click Save Changes to apply the buffer time settings.
